An agent on your desk that prepares the work and asks before it matters
Dispatsi reads every new email, WhatsApp message and website chat your operation receives, works out who wrote and what they want, finds the booking, quote or enquiry on file, and prepares the answer: a reply, a date change, an extra, a booking from a quote, a priced offer for a new ride. Each one lands as a card in the panel. One tap carries it out.
It is not a chatbot bolted onto a number. It knows your bookings, your rate card and your house rules, and it never decides money: a price comes from the rate card, a saved quote or a member of staff. Where a mistake would cost something, a person looks first, every time.
Reads the inbox so nobody has to triage
Every new email is read on arrival: who wrote, which booking, quote or enquiry it is about, and what they want — a question, a change, an extra, a cancellation, a new ride, a payment query, a complaint, or not a customer at all. The card shows the records it matched, numbered, so you can check its reading in seconds.
WhatsApp and chat, the same way
New WhatsApp threads and website chats are read with the whole conversation, both sides, oldest first. With the owner’s separate switch it also hears voice notes and reads photos a customer sends — a photographed flight ticket becomes the flight on the card.
Prepares the change, not just the words
A date change, a new pickup address, an added child seat, a booking made from a quote the customer accepted — Dispatsi prepares the actual change to the record and the reply that confirms it. Your tap does both at once.
A reviewed quote for a new ride
When someone asks what a ride costs, Dispatsi resolves the places, prices the ride from your rate card and drafts the offer. It never leaves on its own: a review dialog shows the exact message, you keep or drop vehicle classes, adjust a price, and send. A changed price goes without the one-tap booking link, so the customer books what you agreed.
Autonomy per kind of job, with hard ceilings
Four levels — off, draft, approve, auto — set separately for answering questions, booking from quotes, adding extras, changing bookings, cancelling and quoting. Cancelling and quoting can never be set past approve, because one can move money and the other can put a wrong address in a customer’s inbox.
Your name, your tone, your rules
Name the agent what your customers should see, pick friendly, formal or brief, and write house rules in plain language — up to four thousand characters of how your operation does things. Cards come in English or German, your choice.
When it acts alone
Auto is opt-in per kind of job, and even then it is slow on purpose.
A visible Stop window
A card set to auto shows the time it will act — at least ten minutes ahead, rounded to the next quarter hour — with a Stop button. Nothing happens silently.
Only clear-cut cases
It acts alone only when its reading is high-confidence, the sender is verified, no media is involved and, for replies, the intent is a plain question. Anything else stays a tap.
Daily caps
At most forty jobs a day per organisation and three per customer in twenty-four hours. Past either, cards wait for a tap again. A mail loop or a chatty customer cannot make it write without end.
Reported in Activity
Every action it takes alone is written to the organisation’s activity feed with what it did and why, next to the staff actions.
What customers see, and what the model does not
Labelled as AI
Every message the agent writes to a customer starts with an AI assistant label, in the customer’s language. A person always knows they are reading an AI-written reply, as the EU AI Act requires.
Contacts replaced before the model
Email addresses and phone numbers in the text are replaced with placeholders before anything reaches the AI provider. The model works on the message, not on who the person is.
Voice notes and photos only by consent
Hearing voice notes and reading photos is a separate switch the owner turns on knowingly, because that content leaves unchanged. Accepting the agent for text does not switch it on.
Never a number from a model
There is no field through which the model could supply a price, a refund or a fee. Amounts come from the rate card, a saved quote or staff, and the prompt forbids inventing them.
Guardrails on reading
A reading budget
The agent reads up to one hundred and fifty new emails a day on its own per organisation; past that, the Read button in the panel still works. A spam wave cannot empty your AI credits overnight.
Knows what was already priced
Before quoting a WhatsApp thread it checks live whether your team already sent a price in that chat, so it never contradicts an agreed figure with a rate-card list.
Switched on by the owner, once
The owner reads and accepts the agreement, and every connected area switches on together: email, transfers, rentals, quotes, enquiries, customers, WhatsApp, chat. An area only shows when the organisation has that module.
Questions operators ask
Will Dispatsi send a price to a customer by itself?
No. A quote for a new ride is capped at approve in the code: it is prepared as a card and goes out only after a person opens the review dialog, sees the exact message and sends it. A changed price is sent without the one-tap booking link.
What can it do fully on its own?
Only what you set to auto, and only answering questions, booking from an accepted quote, adding an extra and changing a booking can be set that high. Even then it waits a visible Stop window, acts only on clear-cut cases, and stops at forty jobs a day.
Does it need its own phone number or mailbox?
No. It reads the inbox and WhatsApp number your organisation already has in RideDesk and writes from them, labelled as AI.
What does it cost to run?
Each read and each reply spends one AI credit from your organisation’s allowance. Enterprise includes a fair-use allowance; usage is visible in the panel.
Which plans include Dispatsi?
Enterprise. The owner switches it on after accepting the agreement; staff see its cards in a dedicated Dispatsi page and inside the inbox.
