RideDesk runs the whole relationship: partners apply on a public form, get their own portal login when you approve them, and build their own file — company documents, vehicles with photos and papers, drivers, billing details checked against the EU VAT register, and your cooperation agreement, signed in the portal.
You approve every piece individually, and eligibility is computed rather than remembered: only a partner whose profile is approved and who has at least one approved vehicle can receive work. Let a document lapse or pause the partner, and they drop out of the forwarding list on their own — no sticky note required.

A portal of their own
Approve an application and the partner is emailed a login to their own portal, where they complete onboarding themselves: profile documents, vehicles, drivers, billing, agreement. Your team reviews instead of typing.
Approval per item, not per partner
The profile, every document, every vehicle and every driver is approved individually — a partner with an expired insurance file is not “mostly fine”, and the system knows it.
VAT-ID checked at entry
Billing details are verified against the EU VIES register when the partner enters them, so the company you settle with is the company that exists on paper.

How a partner joins

1. They apply
The public application form takes the company basics and lands the partner as pending in your panel. Nothing else happens until a human approves.
2. You approve, they get a portal
Approval emails them a login to the partner portal. Declines get a proper email too — both from your templates, in your name.
3. They build their file
Company documents, each vehicle with photos and its papers, each driver, billing details with the live VAT-ID check, and your cooperation agreement — uploaded and signed by the partner, stored privately behind signed links.
4. You review each piece
Every document, vehicle and driver is individually approved in your panel. When the profile is approved and at least one vehicle passes, the partner becomes eligible for work — automatically.
How a job is forwarded
One operator per job
A booking is either assigned to one of your drivers or forwarded to a partner — never both, so responsibility for the ride is always unambiguous.
Eligibility is computed
The forwarding list only ever shows working partners — active, approved profile, at least one approved vehicle. There is no way to accidentally send a job to someone you have not vetted.
The margin stays visible
Every forwarded booking shows what the customer pays and what the partner costs you, per job.

You control what the forwarded job carries. The margin between the customer price and the partner rate is yours and stays visible per booking.
What keeps an unvetted partner from getting jobs?
Forwarding eligibility is computed, not remembered: active status, approved profile and at least one approved vehicle. Lapse any of it and the partner drops out of the forwarding list automatically.
Where do the partner’s documents live?
In a private store, reachable only through short-lived signed links — and when a partner record is permanently deleted, their files are erased with it.
Do partners have to use the portal?
No — staff can create and manage a partner entirely by hand. The portal exists so new partners do their own data entry, not as an obligation.
