Free taxi dispatch software — actually free, actually forever

Search for free taxi dispatch software and most of what you find is a fourteen-day trial wearing the word "free" as a costume. RideDesk's Free Forever plan is the other thing: a real dispatch system with a stated monthly allowance, no card at sign-up, and no date on which it stops working.

This page describes exactly what the free plan includes, exactly where its limits are, and who it genuinely fits — because the honest answer to "is there free taxi dispatch software?" is yes, within limits you should know before you move your bookings anywhere.

What "free" usually means in this market

The most common pattern is the trial: full product for fourteen or thirty days, then a paywall with your data on the wrong side of it. The second pattern is the free demo — a system you can look at but not take a real booking through. The third is per-driver pricing that starts at zero and quietly becomes a bill the moment you add the second car. None of these are free software; they are sales funnels with a delay.

A genuinely free plan has a different shape: it states its limits up front, works indefinitely within them, and the limits are about volume, not about crippling the product. You can judge any vendor — including us — by three questions. Does the free tier take a real booking from a real customer? Does it issue a real invoice? Is there an expiry date anywhere in the terms?

RideDesk's answers are yes, yes and no. The free plan is the same product as the paid plans, pointed at a smaller operation: ten transfers a month, one user, the transfers module. It exists because a one-car operator who grows on the free plan becomes a customer worth more than one who evaluated a trial and left.

The job, as your dispatcher sees it

One record holds the passenger, the route, the flight, the assigned driver and the money — so nothing about the ride lives in somebody’s phone.

What the free plan actually includes

Not a feature list with asterisks — this is what a free account can do on the day it is created.

  • Bookings, dispatch and the driver portal

The full booking lifecycle: pending to approved to confirmed to completed, with driver assignment by link — your driver opens their jobs on a phone, no app, no password, no per-driver fee.

  • Invoicing that stands up to an audit

Consecutive invoice numbering built to the German §14 standard, VAT handling, and a hosted payment page per booking — card, PayPal, bank transfer or SumUp through your own accounts.

  • Website widgets with live prices

The embeddable quote-first booking form — route measured, prices from your own rate card, twelve languages — plus the WordPress plugin. Your existing website takes bookings on day one.

  • 100 AI credits a month

Reply drafts, translations and the paste-to-booking parser, refilled monthly. Enough to feel what the AI side of the product does with real work, not a demo sandbox.

  • Email through your own mailbox

Connect the SMTP mailbox you already have and every confirmation, invoice and reminder goes out under your name, from editable templates in English and German. No vendor branding stamped on your customer email.

  • Analytics, CRM and the vehicle registry

Customers, companies, tasks, a calendar, quote analytics and your fleet list — the operational memory around the bookings, included rather than sold back to you as modules.

Priced by your rate card, on the server

The route is measured once and every vehicle class is priced from your own rates, so no channel can quietly undercut you.

The honest limits

Ten transfers a calendar month. Past the limit, new bookings are refused until the count resets on the first — your panel shows the running total well before you hit it, and the customer-facing message asks them to contact you directly rather than announcing that you are unavailable.

One account, the owner. The free plan is built for the operator who is also the dispatcher and usually the driver; team accounts arrive with Pro. One core module — transfers — and email rides your own mailbox rather than RideDesk Mail. WhatsApp, the chat bot, social publishing, auto-approval and the AI-agent endpoint are paid add-ons, and this page will not pretend otherwise.

What is deliberately NOT limited: the booking flow, invoicing, the widgets, your own domain — a free account can run panel and booking pages on its own domain — and time. There is no expiry date, no trial clock, and no feature that quietly stops working after a month.

A payment page per booking

Your own Stripe, PayPal or SumUp account, the full booking summary on the page, and a compliant invoice behind it.

Who runs well on the free plan

A volume limit is only a problem if you are past it. These operations usually are not.

  • The owner-driver

One car, pre-booked airport work, bookings arriving by phone and website. Ten transfers a month covers a part-time operation entirely, and the invoice numbering is the part your accountant will notice.

  • The side operation

Transfers alongside another business — a hotel shuttle, a courier who also does airport runs. The free plan gives the transfer side a proper system without a subscription the side business has to justify.

  • The operator who is switching and wants proof

Run a handful of real bookings through it in parallel with whatever you use today. Because the plan does not expire, your evaluation can take the three months it actually needs rather than the fourteen days a trial allows.

  • The new operator who has not launched yet

Set up the rate card, the website widget and the templates while the business is still paperwork. Nothing charges while you build, and nothing needs migrating when the first real booking arrives.

Booking page, panel & emails — 100% your brand, none of ours

From sign-up to first booking

No sales call and no card. The slow part is your rate card, not the software.

  1. 1

    Create the account

Company name, email, a verification code. A clean sign-up provisions the free plan on the spot — your panel exists within a minute, on your-company.ridedesk.app.

  2. 2

    Set your rates

Vehicle classes and per-kilometre rates, fixed route prices if you have them. This is what powers live prices everywhere — the widget, quotes, and the price check on every incoming booking.

  3. 3

Put the widget on your website

Paste one snippet, or install the WordPress plugin. Your existing site now quotes and books against your own rate card.

  4. 4

    Take the booking

It arrives priced and verified, you approve it, your driver gets the link, the customer gets the confirmation and the pay page. The whole lifecycle, on the free plan, from day one.

How a booking moves

Arrive, get priced, get a driver, get confirmed, get paid — the same path whichever channel it came from.

01

Sign up & make it yours

Create your organization, set your rate card, connect your domain and drop in your logo and colour.

02

Take bookings everywhere

Point your website at RideDesk, plug in the API, forward marketplace jobs, or add them by hand.

03

Dispatch & get paid

Approve, assign a driver or partner, send the pay link, and let the automations handle the rest.

What comes with it

The capabilities that turn a booking list into a business you can run from one screen.

Built-in CRM

Every booker becomes a customer record — history, documents, billing details, lifetime value.

Two-way inbox & WhatsApp

Reply to customers by email or WhatsApp from inside each booking. No separate app.

Live flight status

Airport pickups track the flight automatically — delays surface before the driver leaves.

Bookable by AI agents

A per-tenant MCP endpoint lets AI assistants get a quote and book — priced by your rules, never theirs.

Quote-to-booking analytics

See what visitors entered, which class they picked, and where they dropped off the funnel.

Automations & reminders

Confirmations, driver reminders, payment chasers and a morning digest — on autopilot.

Why it is free forever, plainly

A fourteen-day trial optimises for a decision under pressure. A free plan optimises for the operator who grows. We would rather be the system a one-car operation runs on for a year and upgrades when the second car arrives than the one it evaluated in a fortnight and forgot — so the free plan has no clock, and the upgrade is priced on the same public page as everything else.

Frequently asked questions

Is there genuinely free taxi dispatch software?

Yes, within stated limits. RideDesk's Free Forever plan takes real bookings, dispatches real drivers and issues real invoices — capped at ten transfers a month with one user account. It never expires and needs no card. What you should be sceptical of is "free" that turns out to be a trial with a date on it.

What is the catch with the free plan?

The limits are the catch, and they are printed rather than discovered: ten transfers a month, one account, the transfers module, email through your own mailbox. The paid add-ons — WhatsApp, managed email, the chat bot, auto-approval — are genuinely absent rather than teased. If your volume fits, there is nothing else to find.

What is the best free taxi dispatch software?

Judge any candidate — including this one — on three things: does the free tier take a real customer booking end to end, does it issue a compliant invoice, and is there an expiry date. Most "free" options fail on the third. After that it is fit: a system built for pre-booked transfer work suits a transfer operator better than a hailing platform's free tier ever will.

Is there a free taxi dispatch software download?

RideDesk is not a download — it runs in the browser, on any laptop or phone, and the panel installs as an app from the browser if you want an icon on your home screen. Searches for a taxi management software free download mostly surface abandoned desktop programs; a dispatch system needs to be where your drivers and bookings are, which is online.

Is there open source taxi dispatch software?

A few open-source dispatch projects exist, and for an operator with a developer on hand they can be a genuine option. Budget honestly for what the free licence costs in practice: a server to run, secure and back up, updates to apply, payment and email integrations to wire yourself, and invoice compliance to build from scratch. The licence is free; operating it is a part-time job. A free cloud plan answers the same start-at-zero need without making you the system administrator — which is why most one-car operations are better served by one.

How long can I stay on the free plan?

Indefinitely. There is no expiry, no forced upgrade and no feature that stops working after a period. Operators outgrow it by volume — the eleventh transfer in a month — or by needing a second user or a paid module, and the pricing page states exactly what each step up costs.

Can I take card payments on the free plan?

Yes — connect your own Stripe, PayPal or SumUp account and every booking gets a hosted payment page. The fees are between you and your processor at your own negotiated rate; RideDesk takes no commission on fares on any plan, free included.

Does the free plan work for vehicle rentals?

No — the free plan runs the transfers module. A self-drive hire operation wants Pro, where rentals can be chosen as the core module instead, with the handover protocol, agreements and deposit handling that trade needs.
