The advertised price of dispatch software is rarely the bill. Between per-vehicle multipliers, per-trip fees, one-time onboarding charges, separately priced modules and bundled card rates, two platforms with the same headline number can be thousands apart over a year.

This calculator puts your own volume against published list prices so you can see the difference. Every competitor figure is read from that vendor own pricing page and dated below the table.

The five things that make up the bill

The base fee is the only one most pricing pages lead with, and on some platforms it is barely half of what you pay. Around it sit four more: a multiplier, a per-booking fee, a one-time charge and the cost of taking money.

The multiplier is per vehicle, per driver or per seat, and it is the one that turns growth into an expense. The per-booking fee is a few cents a trip, which sounds trivial and is not — at three hundred trips a month it adds up to more than most operators guess, and the overage rate above your plan cap is usually higher again. The one-time charge is onboarding, setup, migration or a white-label build, and it is frequently absent from the pricing page.

The last one is card processing, and it deserves separate treatment. Every platform costs something to take a card. What differs is whether the rate is one you negotiated with a processor you chose, or one bundled into the software at a number set by somebody else. That is why the calculator shows it as its own row rather than folding it into a total — a bundled rate and your own rate are not comparable without knowing yours.

How to read the result honestly

This compares software cost, not value. A platform that costs more may be worth more to you — native apps, live tracking, an affiliate network or a US marketplace are real things that real operators pay for on purpose. The calculator cannot weigh those and does not try.

It also cannot see the deal you might negotiate. These are published list prices; vendors discount, especially annually and especially at larger fleet sizes. If a number here matters to your decision, ask the vendor for a written quote at your fleet size with every module you need, and compare that.

What the calculator is good for is the structural question: which pricing shape are you signing up to, and what does it do to you if the business grows the way you intend? That answer does not change with a discount.

  • Get the first-year total in writing

    Subscription for twelve months, plus per-booking fees at your real volume, plus onboarding, plus every module you need. One number, from the vendor, in an email.

  • Ask what happens at double your volume

    Which plan you land on, what the overage rate is, and whether any multiplier changes. This is the question that separates the pricing shapes.

  • Separate software cost from payment cost

    Two different bills with two different logics. A platform can be cheap on one and expensive on the other, and the totals will not tell you which.

  • Test the invoice, not the demo

    Issue a real invoice on a trial or free account and show it to whoever does your books. Compliance problems are expensive and they do not appear in a sales call.

  • Run it in parallel for a month

    Long enough to hit a month-end, an awkward customer and a driver who cannot log in. A free plan with no expiry makes that possible without a second subscription.

Where these figures come from

Competitor numbers are published list prices read from each vendor own pricing page, with the date printed under the table. They are not taken from review sites or comparison blogs — several of those had the pricing models plainly wrong, including one that described a per-trip platform as charging per vehicle. If you find a figure here that is out of date, it is a mistake rather than a tactic, and we would like to know so it can be corrected.

How much does taxi dispatch software cost per month?

Published entry prices in this market run from nothing on a genuine free tier to several hundred a month, and the headline figure is an unreliable guide. What decides the real cost is the shape: whether there is a multiplier per vehicle or driver, a fee per booking, a one-time onboarding charge, and whether card processing is bundled at a rate you did not set.

Why do dispatch platforms charge a setup fee?

Usually for onboarding and data migration, and it typically scales with the plan. It is a legitimate charge for real work, but it belongs in your first-year total rather than being mentally discounted as a one-off — which is why the calculator shows the first year and the steady-state year separately.

Is annual billing cheaper?

Very often, and it is the discount most readily given. It is also a commitment, so it is worth taking only after you have run the software on real bookings for long enough to be confident. Ask for the annual rate once you have decided, not while you are still evaluating.

What should a small operator expect to pay?

A one or two-vehicle operation with modest volume can often run on a genuine free tier and pay nothing. Beyond that, a flat subscription in the region of a hundred a month with no per-vehicle or per-booking charge is a reasonable benchmark to hold vendors against, and anything structured as a percentage of your fares deserves close arithmetic.

How current are the competitor figures?

Each vendor figures are read from their own pricing page and the date is printed under the calculator. They are re-checked periodically, but a vendor can change their pricing on any day, so treat these as a starting point and confirm anything decision-critical with the vendor directly.
